Grievance Policy

Optimal Life HQ seeks to ensure the equitable treatment of every student and to resolve all grievances in a timely, respectful, and fair manner. Students have the right to raise concerns regarding the program’s content, delivery, facilities, administrative processes, or instructor/faculty behavior. All grievances are taken seriously and will be addressed promptly to prevent recurrence and maintain a safe and supportive learning environment.

Procedure for Filing a Grievance

Step 1 – Direct Resolution (Informal Stage)
A student should first attempt to resolve the issue directly with the educator, trainer, staff member, or fellow student involved. If the student is uncomfortable doing so, or if the issue remains unresolved, they may proceed to Step 2.

Step 2 – Formal Submission to Program Director
If the issue cannot be resolved informally, the student should submit a written grievance to the Program Director within 10 business days of the incident or concern. The Program Director will review the complaint, meet (virtually or in person) with the student within 10 business days, and work with all parties to reach a fair resolution.

Step 3 – Appeal Process
If the student feels that the issue was not resolved satisfactorily, they may submit a written appeal to the Director of Education within 10 business days of receiving the Program Director’s response. The appeal should include the original complaint, documentation of prior steps, and a clear explanation of why the outcome was unsatisfactory. Appeals will be reviewed objectively, and a written response will be provided to the student within 10 business days. All appeal decisions made by the Director of Education are final.

Confidentiality and Record-Keeping

All grievance communications and proceedings will be treated as confidential, shared only with individuals directly involved in addressing the issue. Records of grievances, actions taken, and resolutions will be securely maintained by Optimal Life HQ in accordance with privacy and data protection laws.
